How You (and You Alone) Can Redirect Your Selected Mail to Earth Class Mail Corp.

Once you've set up your Earth Class Mail account, you'll need to take three easy steps to ensure that the redirection of your selected mail is as smooth and speedy as possible. We recommend that you bookmark this page (Control-D) in case you need to return later, or print it out now to better follow along and mark your progress.

Please note that your mail will not be sent to us automatically. Instead, you must take further action as specified in Step 3 below.

Step 1: Authorize Us to Receive Your Mail by Completing the USPS Form 1583

Step 2: Notarize the Form, Attach Photocopies of Your Identification, and Mail to Us

Step 3: Distribute Your New Address with Selected Mailers So They Send Us Your Mail

Step 1: Authorize Us to Receive Your Mail by Completing the USPS Form 1583

While Earth Class Mail Corp.'s concept of putting all your mail online is totally new, the idea of a person or business having a mail-receiving agent is not. That's why the U.S. Postal Service requires completion of its Form 1583, so that you can designate Earth Class Mail as your agent for receiving mail.

Filling out the Form 1583 will not cause your mail to be sent to your new Remote Address; it just authorizes us to receive any mail you have had sent to us. To learn how to direct your mailers to send us your mail, see Step 3.

For every Remote Address you wish to use, we must have an original copy of the Form 1583 on file. The Postal Service does not let us accept faxed, copied, or e-mailed forms in lieu of an original Form 1583; that form must be mailed to us.

Access and Fill Out the Form 1583

The easiest way to do this is from within your account! Unlike other mail-receiving agencies, we’ve simplified the process of completing this complex form for you by creating a special Form 1583 Assistant in your online account. Once logged in, you (or your Account Administrator, if you belong to an account with multiple mail recipients) can simply click the Manage Account tab, select the Form 1583 Manager sub-tab, and follow the steps provided by the Assistant.

Alternately, you can download a Form 1583 PDF to open (to fill out by computer) or just to print (to fill out by hand). Remember, you will need one Form 1583 for each Remote Address you intend to use and for each person or company that will be receiving mail through your account — except for your spouse, any children under the age of 18, and employees of your company. (NOTE: You will need Adobe® Reader® installed on your computer to open PDF files; if you don't have this free software program, you can download it here.)

Please take the time to read the instructions, and don’t hesitate to contact us if you have any questions. If you do not fill out required fields, we will return the form to you or request that you fill out a new one; in the meantime, the USPS may not forward your mail to us or we may refuse to forward-ship your mail.

Step 2: Notarize the Form, Attach Photocopies of Your Identification, and Mail to Us

Once you have filled out – but not signed – the Form 1583, you will need to find a notary public, attorney or equivalent authority.

Notaries public may be found at many large post offices, banks, credit unions, corporations, and U.S. Consulates and embassies, as well as many other locations (check your preferred search engine for “notary [city, state]”). If you live outside the U.S. and a notary is not available in your country of residence, we will accept forms that are stamped with an official seal, such as that of an attorney.

(NOTE: If you reside outside of the United States and plan to use one of our addresses within the state of Oregon, your Form 1583 does not need to be notarized. Please review our strict anti-fraud policy.)

Bring your required identification pieces with you when you visit the notary public. ID requirements vary from state to state and we recommend calling ahead to ask for specific notary recommendations. In general, your ID should include your signature and a photo or physical description.

If you are submitting forms for multiple addresses with identical personal information, only one of the forms needs to be notarized.

Providing Photocopies of Identification for People and Companies Listed On Your Form::

You will need to photocopy at least two IDs from the following list for each recipient and submit the copies with your Form 1583. Make sure that at least one ID includes the recipient's photograph and at least one ID includes the home address you list in Box 7 of the form. Supplementary identification is required if you need to substantiate your address, if you have listed a business on your Form 1583, or if you plan to receive mail for additional members of your business.

Examples of the USPS-approved identification pieces include:

  • Armed forces, government, university or recognized corporate identification card
  • Valid driver's license or state non-driver's identification card
  • Passport or alien registration card or certificate of naturalization
  • Current lease, mortgage or Deed of Trust
  • Voter- or vehicle-registration card
  • Home or vehicle insurance policy

NOTE: Social Security cards, credit cards, and birth certificates are NOT acceptable forms of identification.

Mailing the Form and Accompanying Documents So We Can Receive Your Mail:

You will need to mail to us:

  • Your original notarized (if applicable) Form 1583 for each Remote Address
  • Copies of your ID (two IDs each for spouses and each recipient, one for each business)

Mail to:

Earth Class Mail
Department 1583
14525 SW Millikan Way, #101
Beaverton, OR 97005-2343

As soon as you put the original Form 1583 in the mail to us, you may begin to inform mailers of your new address. For extra assurance, you may want to wait to give out your new address until we have notified you by email that your Form 1583 has been processed and approved.

Please note that filling out the Form 1583 alone DOES NOT instruct the USPS to forward or redirect your mail to us. The Form 1583 only authorizes us to receive your mail when it arrives. To have your mail redirected to us, you must notify mailers of your Remote Address. Please proceed to Step 3.

Step 3: Distribute Your New Address with Selected Mailers So They Will Send Us Your Mail

We recommend that you start the flow of mail to your Earth Class Mail account by notifying selected mailers of your new address. Most of our customers prefer to redirect mail from only certain senders rather than having all their mail sent to us, so that home or office delivery will continue for items such as catalogs, magazine subscriptions, DVDs, USPS-shipped parcels, and other items you might prefer to receive directly.

Here's an example of how you might choose to have us manage your mail:

FORWARD TO US

KEEP SENDING TO YOURSELF

Everything you don't need in the original paper form! Anything you're sure you'll want opened only by you (be assured, our security is state-of-the-art)

Time-sensitive items (bills, dues notices, customer correspondence)

Netflix/Blockbuster DVDs, online shopping packages

Items revealing your personal identity (our security exceeds your mailbox or p.o. box)

Magazines

Infrequent but important reminders and notices — for example, from alumni associations, insurance agencies, auto-licensing departments, professional organizations, voter-registration offices, friends and family during the holidays, children's schools, state and national tax offices, lawyers, companies that don't offer electronic billing, and vendors that send your favorite catalogs

Newspapers

Thinking About Filing a Change-of-Address? Please Consider the Following:

Earth Class Mail has experience with thousands of customers who have used USPS’ Change-of-Address (COA) forms and we share this practical information with you ― not easily found on the USPS.com website ― in order to maximize the productivity and enjoyment you can experience using our service.

Unless you are sure you will only be using our service temporarily, we strongly recommend against submitting a COA form to the USPS for your new Earth Class Mail address. Here's why.

  • All of your mail will be sent to Earth Class Mail, including DVDs, catalogs, magazines, USPS-shipped parcels, and other items you are likely to want to have sent directly to you.
  • You need to be aware that the USPS mail-forwarding system is imperfect and can add significant delay to the delivery of your mail – two weeks or more is not uncommon. Because all COAs are only temporarily effective, you are only delaying the time when you must change your address with your mailers. When the COA expires, you will stop getting your mail; it may even be Returned-to-Sender or become one of the 6 billion undeliverable pieces of mail the USPS must shred every year.
  • The yellow COA stickers used by the USPS make it difficult for us to process your mail on automated equipment because of the poor dot-matrix print quality, resulting in further potential for delay due to manual processing and lookup.

You may want to take care of notifying mailers now, while you're thinking about it. A little time spent sending them your new address now, as their mail to you arrives, will save you a lot of time, headache, and even expense later.

Please note that the USPS online form is very limited in functionality and will usually reject Change-of-Address orders when the recipient is changing from a residential address to one of our remote addresses. If that happens, you'll need to obtain, complete and submit to USPS the paper COA Form 3575, which is included in the USPS’s "Mover's Guide" packet that can be picked up at any post office.
